If your uploaded file isn’t visible in the proof screen or on the “New Job Creation” page, it’s likely because the file was not uploaded as a PDF. LetterStream’s system only displays and processes PDF documents for accuracy, security, and speed.

Why PDF Format is Required

Our platform only supports PDF documents for job previews and processing. If you upload a Microsoft Word file or another file type, it won’t be viewable in the system and cannot be properly proofed.


Risks of Using Word Document

Security Functions

  • Word documents are easier to modify than PDFs. While your files are safe in our secure facility, Word files are generally more vulnerable and can be edited by others before uploading.

Font Substitution Errors

  • If we convert Word documents to PDF for you, font substitution could occur if the fonts used in your document aren’t available on our systems. This may change the layout or appearance of your document, potentially introducing errors.

Impact on Mail Processing Time

Uploading a non-PDF document removes your job from our automated processing workflow. This means:

  • Your mailing will require manual handling
  • Processing time will likely increase
  • Job approval and mail-out dates may be delayed

To ensure smooth and timely processing, always upload PDF files.
