Authorized Payment Methods
To send mail through your LetterStream account, you must use a payment method that belongs to you or your business.
Using your own payment method allows us to properly verify transactions and maintain account security.
If you are sending mail on behalf of a client, you must use your own payment method and bill your client separately. Client-owned or third-party payment methods are not permitted.
Prohibited Payment Practices
The use of payment methods that do not belong to the account holder is not allowed. This includes using a client’s, customer’s, or any other third party’s credit card.
These practices:
- Violate LetterStream’s payment policies
- Increase the risk of disputes and fraud claims
- May result in account restrictions or suspension
All payments must originate from the verified payment method associated with the account holder.
Chargebacks and Disputes
If a chargeback or payment dispute is initiated for any LetterStream transaction:
- The associated account will be placed on hold and access may not be restored
- Mailing services will be suspended during review
- The disputed transaction amount and additional processing fees are incurred
- The dispute is reported to our payment processor and may affect future payment attempts
- Future charges may be automatically declined due to prior dispute activity
Due to the time, cost, and risk involved, accounts with chargebacks, disputes, or related payment issues are immediately placed on hold.
Unusual Payment Activity Monitoring
Our payment platform continuously monitors for:
- Unusual payment patterns
- Suspicious or high-risk card activity
- Indicators of unauthorized use
If our payment processor issues a fraud alert or notification:
- We may contact you to verify payment details
- Your account may be temporarily restricted while the issue is reviewed
- Your payer profile may be blocked from making future payments on LetterStream
Account Consequences
Accounts involved in chargebacks, disputes, or fraudulent payment activity may be subject to:
- Immediate suspension of mailing services
- Restricted or revoked account access, including historical mailing data
- Permanent account closure, depending on the severity or frequency of the issue
To avoid disruptions, always use authorized payment methods and ensure all transactions are legitimate and verifiable.
