Include Tracking Numbers Directly On Document
Getting Started
This guide outlines how to include USPS Certified Mail tracking numbers directly on your documents before mailing. There are two methods available depending on your document formatting needs and technical preferences.
In This Article
- Option 1: Auto-Placement of Tracking Number
- Option 2: Manual Insertion of Tracking Number
- Important Notes
Option 1: Auto-Placement of Tracking Number
If you're able to adjust the formatting of your document, you can have the Certified Mail tracking number automatically printed on your first page.
Steps:
- Leave the top one-third of page one blank in your document.
- In the job setup, remove the coversheet our system typically adds.
- This will place the Certified Mail barcode and tracking number in the top-right section of the first page of your document, along with the recipient and return address.
Tip: Use our PDF PreFlight tool to preview how your document will appear with the tracking number added.
Option 2: Manual Insertion of Tracking Number
For more control, especially if you need the tracking number embedded in a specific location, you can manually add the tracking number from your proof to your final document.
This method only works for single recipient mailings, and must be followed exactly.
Steps:
- Log into your account and click "Send Letter(s)".
- Choose the LetterStream Address Book option to select your recipient.
- Select Certified Mail and ensure the Add Certified Electronic Return Receipt option is checked.
- Continue to the Job Inserts Review page and upload a sample document.
- Click Continue to Recipient Review.
- View the proof and capture the Certified Mail tracking number (e.g., via screenshot).
- Add this tracking number to your final document.
- Go back to the Job Inserts Review page and replace the sample document with your updated document.
- Revisit the proof to ensure the tracking number on the document matches the system-generated number.
- Confirm that the "Remove Certified Return Receipt" option is not selected, or else the tracking number will change.
- Proceed to checkout and complete your order.
Important Notes
- This process must be followed exactly to avoid the tracking number being regenerated.
- Any change to the Certified Mail options, especially removing the Return Receipt, will alter the tracking number.
- Always verify that the tracking number displayed in the final proof matches the one added to your document before finalizing payment.
