Sending IRS or Tax Documents Through LetterStream
Getting Started
You can send IRS or other tax-related documents through LetterStream as long as your document is uploaded as a properly formatted PDF. Many IRS forms include fillable or interactive fields that may not be embedded in the file.
If information is not embedded, it can be stripped out during processing. This article explains the requirements for sending tax forms, what to watch for with fillable PDFs, and how to ensure your document prints correctly when mailed.

Sending Tax Forms Through LetterStream
LetterStream can print and mail tax forms, including documents such as IRS Form 1065, provided the document is prepared as a PDF file ready for printing.
To send a document through LetterStream, you simply follow the normal process for creating mailings. Our website will walk you through the steps as you go.
You can upload your PDF and select your mailing method, including standard USPS First-Class, or if you need tracking information, Certified Mail, and FedEx 2Day are also available.
PDF Requirements for Mailing
Before uploading your document, make sure your PDF meets these requirements:
- The file must be a standard PDF (not a portfolio, restricted document or have security requirements enabled such as password protected PDFs).
- All fonts, images, and document elements must be properly embedded.
- The file should not contain active form fields, annotations, signatures, or interactive elements such as comment boxes.
Properly preparing your document helps ensure it prints exactly as intended and avoids processing errors.
Why Embedded Information Matters
Embedding information in a PDF ensures that all content remains intact during processing and printing. When fonts, images, and other document elements are embedded:
- Text displays exactly as intended
- Image quality and placement are preserved
- Overall document formatting remains consistent
If information is not embedded, a document may appear correct on your computer but display differently or lose content when processed for printing.

Issues With Fillable IRS Forms
Some IRS documents are distributed as fillable forms. These forms often use interactive fields to display the entered data. If those fields are not embedded into the document:
- Information may disappear after uploading
- Form values may not print
- Certain elements may be stripped out during processing
This can be common with forms that rely on electronic/modifiable form fields rather than static text.
How to Prevent Missing or Stripped Information
To ensure your tax document prints correctly:
- Flatten or convert any fillable fields into static content
- Embed all fonts and document information
- Remove annotations or layered elements
- Save or export the file again as a new PDF
Before submitting your job, review the proofs carefully. The proof shows what will be printed and mailed.
