This article explains how to embed information into a PDF document using Adobe Acrobat. Embedding ensures your file retains its information (fonts, images, signatures) and displays correctly when printed.

Why Embed Information?
Embedding information guarantees that all text in your PDF appears as intended and preserves:
- Font appearance, so text displays exactly as intended
- Image quality and placement
- Overall document formatting
Without a properly embedded PDF, information can display incorrectly or not at all. The recipient proof shows exactly what will be printed and mailed, including any unembedded information.
Steps to Embed Information in a PDF
Follow these steps to embed fonts using Adobe Acrobat:
- Launch Adobe Acrobat
- Select Your PDF
- Access PDF Optimizer
- From the top menu, go to Menu > Save As Other > Optimized PDF.
- Set Font Options
- In the PDF Optimizer window, click Fonts in the list on the left.
- You will see a list of fonts used in the document.
- Under the Fonts to Unembed list, select the desired fonts and click Retain.
- Save the PDF
- Click OK to apply the changes.
- Save the PDF with a new file name or overwrite the existing file.
Verifying Fonts Are Embedded
To confirm that fonts were embedded successfully:
- Open the PDF in Adobe Acrobat.
- Go to Menu > Properties.
- Click the Fonts tab.
- Check the information next to each font.
- It should indicate Embedded Subset or Embedded.
