Why Embed Information?

Embedding information guarantees that all text in your PDF appears as intended and preserves:

  • Font appearance, so text displays exactly as intended
  • Image quality and placement
  • Overall document formatting

Without a properly embedded PDF, information can display incorrectly or not at all. The recipient proof shows what will be printed and mailed, including any unembedded information. Be sure to review each page carefully.


Steps to Embed Information in a PDF

To embed information using Preview on Mac:

  1. Open Your PDF
    • Double-click or right-click on your PDF and open it in Preview.
  1. Export the Document
    • From the top menu, select File > Export.
  1. Choose PDF Format
    • In the export dialog, make sure Format is set to PDF.
  1. Select Quartz Filter
    • From the Quartz Filter dropdown menu, choose Create Generic PDFX-3 Document.
    • This filter embeds fonts and other necessary information, but still be sure to review your proofs carefully prior to approval.
  1. Save the File
    • Choose a file name and location.
    • Click Save.
